Technical communication

Technical communication is the practice of conveying complex information in a way that is clear, accessible and usable for a specific audience. It bridges the gap between subject-matter experts and end users, transforming technical data into practical knowledge that helps people understand products, processes or services safely and effectively.

Description

Traditionally known as "technical writing," the field has evolved into technical communication to reflect a broader scope. It is no longer just about writing manuals; it is about designing information experiences. Technical communicators today are information architects, content strategists and User experience (UX) advocates who ensure that vital information reaches the user in the right format at the right time.

In the digital age, technical communication has moved away from static documents toward structured content. By using standards such as DITA (Darwin Information Typing Architecture), organizations create modular content that can be reused across multiple channels. A single warning message, for example, can be authored once and published simultaneously to a printed guide, a mobile app, a chatbot and a voice assistant. This approach ensures consistency, reduces translation costs and allows technical content to adapt dynamically to the user’s context. In regulated industries like aerospace, finance and life sciences, it also serves a vital compliance function, ensuring that products are documented according to strict legal and safety standards.

Example use cases

  • Assistance: Creating manuals, quick-start guides and online help systems.
  • Development: Writing API references, SDK guides and code samples.
  • Regulation: Producing clinical evaluation reports or safety data sheets.
  • Service: Delivering troubleshooting flows and maintenance procedures via mobile tablets.
  • Internal: Documenting standard operating procedures (SOPs) and policies.

RWS perspective

RWS views technical communication as a strategic business asset, not just a support function. We help organizations transform their technical content from static files into intelligent, versatile knowledge.

Through Tridion Docs, our intelligent Component Content Management System (CCMS), we enable technical communication teams to author structured content at scale. Our approach combines the rigour of DITA with the flexibility of AI-driven delivery. We integrate Semantic AI to make technical information easier to find and Language Weaver to ensure it is accessible in any language. By balancing human expertise in information design with intelligent automation, RWS empowers companies to deliver technical accuracy and clarity to every user, on any device, anywhere in the world.
